Payroll Management: Dashboard, Employees, and Timesheet

 Purpose: Understand how to review employee timesheets, activity status, and generate payroll summaries across your stores using CStoreIQ.

Audience: Admin, HR, Store Owners

Prerequisites: Access to the Payroll module; correctly mapped employee data from the POS.

Navigation: Dashboard > Payroll


1. Payroll Dashboard (Payroll > Dashboard)

The Payroll Dashboard gives you a quick snapshot of current employee activity across all your locations. It helps you instantly see who is clocked in and who is clocked out.

How to Use

  1. Click on Payroll in the left-hand navigation menu.
  2. Select Dashboard.
  3. Choose your Store Location from the dropdown if you manage multiple stores.

What You'll See

  • Clocked-In / Clocked-Out Totals: Summary tiles showing how many employees are currently on shift versus off shift.
  • Employee Status List: A detailed list of each employee with their current clock-in or clock-out status, including store assignment.


2. Managing Employees (Payroll > Employees)

The Employees section acts as your master roster. Use it to view all employees, their IDs, assigned stores, and current active/inactive status.

How to Use

  1. Under the Payroll menu, click Employees.
  2. Use the filters at the top to narrow down by Store or Status (Active/Inactive).

What You'll See

  • Employee Table: A comprehensive table showing all employees with their Employee ID, Name, Assigned Store(s), and Status (Active or Inactive).
  • Search: Use the search bar to quickly find a specific employee by name or ID.


3. Timesheet Review & Adjustments (Payroll > Timesheet)

The Timesheet is where you can view detailed clock-in/clock-out times to verify hours before actual payroll processing.

How to Use

  1. Click Timesheet under Payroll.
  2. Use the top filters to select specific Dates, Stores, or individual Employees.
  3. Click Search to load the filtered results.

What You'll See

  • Shift Details: The table displays each shift date, specific punch-in and punch-out times, and total hours worked.
  • Edit Actions: If an employee missed a punch, authorized users can click the Edit (pencil) icon to manually enter the missing punch time.

Note: Only users with Admin or specific HR permissions will be able to alter timesheet records.


4. Payroll Reports (Payroll > Reports)

The Reports section allows you to generate and export payroll summaries for your payroll provider. Use this to pull time-and-attendance data for a specific date range or pay period.

How to Use

  1. Navigate to Payroll > Reports.
  2. Select the desired Date Range or Pay Period.
  3. Choose the Store(s) and click Generate.
  4. Export the summary as needed for your payroll provider (e.g., ADP, Paychex).

Note: CStoreIQ acts as the time-and-attendance aggregator. It does not print actual paychecks — you will use the exported Payroll Summary with your external payroll provider.

5. Payroll Settings (Payroll > Settings)

The Settings section allows administrators to configure payroll-related preferences such as overtime rules, pay period definitions, and employee role mappings.


Tips and Best Practices

  • Daily Check: Make it a habit to review the Payroll Dashboard at the start and end of each business day to ensure all employees have clocked in and out correctly.
  • Timesheet Verification: Before exporting payroll reports, always review the Timesheet section to catch any missed punches or discrepancies.
  • Employee Sync: Ensure all employees are properly synced from the POS back office and their profiles are marked Active to avoid missing data.

Troubleshooting

  • Missing Employee Data: If employee data is not showing, ensure those employees have been properly synced from the POS back office and that their profiles are marked 'Active'.
  • Employee Showing 0 Hours: This usually means the employee failed to clock out. Review the Timesheet and manually enter their out-punch if you have the proper credentials.
  • POS Syncing Delays: Employee punches originate from the register. Delays in data transmission from the POS may result in recent punches not appearing immediately on the dashboard.
